When acceptance must be continued no information lost.

For companies where offers have variants, quantities, terms or conditions and pass from sales to production, delivery or a service team.

  1. Client has accepted, but it is not clear which version.

We bind acceptance to fair offer and review. We determine how the options are confirmed and what verification is required before the order is processed.

  2. The order arrives incomplete at the delivery team.

We identify the minimum information for execution and who confirms it. A case with missing details has a fill-in-charge and a visible status, with no release on assumptions.

  3. An amendment changes the term without being communicated.

We determine who verifies the effects, who approves and to whom the new version goes. The handover includes confirmation that the team is working with the same information as sales and the customer.

We confirm acceptance.
We prepare order to be executed.

Acceptance of the offer needs verifications and sufficient information to proceed.

SIXIS coordinates the route and the agreed operational checks. Your company validates prices, availability, terms and business conditions. Production, logistics, document processing and technical integration are explicitly assigned to the right people and activities.

The SIXIS collaboration model
  1. We identify the moment of acceptance.

We see how the client accepts and what proofs or confirmations the firm uses. We link this moment to the correct offer and variant. We determine what constitutes sufficient acceptance for the internal process and who can clarify situations without full confirmation.

From you Accepted offers, revisions and customer confirmation trade rules.

  2. We define the data required for the order.

We choose the product or service, the quantity, the configuration, the destination and the conditions that change the execution. We specify the source and the person responsible for each piece of information. Missing data is required before proceeding, and assumptions are not automatically converted to confirmed requirements.

From you Mandatory information and persons who can validate it for execution.

  3. We check the possibility of delivery.

We confirm capacity, availability and term in the manner established by the firm. An exceptional price or condition goes to approval. We determine when the order can be put into work and what is communicated to the customer if the accepted offer requires further verification.

From you Availability, capacity rules, and limits on commercial approvals.

  4. We deliver the order and confirm receipt.

We organize the registration and necessary documents for the next team. We keep in touch with the offer, acceptance and commercial manager. We verify that the handover is received and sufficient; transfer through a system or automation is tested separately if included.

From you Destination of the order, accesses and person responsible for confirming receipt.

  5. We handle changes and track bottlenecks.

Define post-commissioning review, approval, and communication. We see what operations are already executed and what can be changed. We track incomplete or unconfirmed orders, with the person who can resolve each case and a history accessible to the team.

From you Examples of subsequent changes and the rules for correction and customer notification.

An order for printed materials.
Graphic variant is affirmed.

A printer receives price acceptance, but the order also includes format, print run and graphic variant. In this example, commercial confirmation and material approval are checked before production.

Acceptance
The order is linked to the accepted offer and draw. The commercial person confirms the conditions and reports any difference from the initial estimate.
Verification
Graphic variant and specifications are approved by company rules. An incomplete file has a clear continuation and is not released to production by default.
Surrender
The production receives the confirmed variant, the order identification and the validated term. A subsequent revision has approval and communication to the affected roles.

What we check before of commissioning.

Acceptance, versions, missing information and changes after order.

Is verbal acceptance sufficient?

The company establishes the commercial conditions and the form necessary for the confirmation, together with the competent persons where appropriate. SIXIS organizes the route based on these rules. If the information is incomplete or unclear, the case goes to the person in charge before implementation.

How do we identify the accepted offer when there are revisions?

We keep the identification, date and variant transmitted, then link the customer's confirmation to it. The differences are made explicit. The order should not just be based on the latest file found unless we know what was actually accepted.

What do we do with an incomplete order?

We determine what information is missing, who is asking for it, and what activities can safely continue. The case has a status and a completion manager. We don't hide gaps in an order that looks ready for execution, but requires guesswork from the team.

Who confirms the promised term?

The role that knows the relevant availability and capacity, according to the rules of the firm. Sales communicates the validated term and any conditions. SIXIS can organize the check and handover, without inventing an availability or capacity that it cannot confirm.

Can we automate order creation?

When the rules, data and systems allow, part of the registration can be automated. Necessary checks and approvals remain en route. We test incomplete cases, duplicates, and revisions before release and delineate technical implementation versus process organization.

How do we treat a change requested after work has begun?

We check what was executed and the effects on cost, term and documents. Designated persons approve the new terms. The committed variant reaches all affected roles, with change history and communication to the client preserved in the process.

Do you also include contracts or legal rules?

We can organize the use of documents and rules validated by the firm. Legal drafting or interpretation is a distinct activity, carried out with competent persons. The operational process must reflect the approved conditions, without supplanting them with assumptions.

How do we assess whether teaching has improved?

We track time to complete order, clarifications, revisions and unconfirmed cases at reception. We use available definitions and sources. The result is analyzed together with the volume and complexity of the orders to avoid comparisons between very different periods.

What is usually lacking after acceptance of the offer?

Show us an accepted offer and how it came into being. We can identify the checks, data and handover needed for the team to continue the same order.
