Quoting.From enquiryto proposal.
SIXIS organises quote preparation: the information required, who checks it, how the proposal is put together and which approvals are needed before it is sent.
We are looking for an offer that meets the real demand, with variant, conditions and clear responsible. The team can prepare and continue the discussion without looking for the same information every time.
Show us how you prepare the offers See how we workThe request is here.
Offer where are they waiting?
For companies that prepare commercial proposals with variants, prices, delivery conditions or approvals and waste time between the request and the response to the client.
The request reaches the offerer incomplete.
Quantities, dimensions, term or details of use missing. We determine what needs to be clarified before the estimate and who is asking for the information, so that the offer does not circulate between colleagues for additions.
Every offer is built from scratch.
Company data, descriptions and conditions are copied from old documents. We prepare approved models and components, keeping the freedom to adapt the proposal to the client's requirements.
It is not clear which variant was sent.
The price or conditions change along the way, and colleagues work with different versions. We organize variants, approval and history, so that the commercial discussion starts from the same proposal.
Full information.
Inspections on time.
A good offer begins with an understood request and ends with a proposal you can support.
SIXIS can organize the route and preparation of documents in the agreed activity. Prices, margins, technical terms and commercial commitments are validated by designated people in your company.
The SIXIS collaboration modelWe identify where time is wasted.
We go through some recent offers from application to submission. We see what information was missing, what was redone, and where approvals were pending. We separate the preparation of the document from the technical or commercial calculation, which may have other responsibilities.
From you Actual requests and offers, including cases with changes or delays.
We define the information necessary for the estimate.
We establish the minimum dates for each type of offer and who confirms them. The quantities, configuration, place of delivery or term may change the proposal. If something is not known, we flag the assumption or ask for clarification before promising a condition.
From you Price rules, technical requirements and persons who can confirm availability.
We prepare the reusable structure and components.
We organize the document, approved descriptions and frequently occurring conditions. We determine how the variants are presented and what is included in each. Templates reduce repeated copying, but the offer remains verified for the customer and the demand to which it is directed.
From you Examples of accepted wording, brand documents and current trade conditions.
We establish verification and approval.
We define who verifies the data, the calculation, the term and possible exceptions. A discount or unusual condition goes to the person who can decide. We keep the approved version and what has changed before the proposal is sent on behalf of the firm.
From you Approval limits and responsible for prices, discounts and commitments.
We link the offer to the continuation of the discussion.
The sent offer remains associated with the request and the opportunity, with the date, variant and responsible person. We determine the next action and how we handle the changes requested by the customer. We check lead time, redoes and bottlenecks to adjust the process.
From you Client feedback and post-submission decisions, including acceptance or rejection.
A WORKING EXAMPLE
Three configurations.
An offer easy to compare.
An equipment dealer prepares an offer with three configurations for the same customer. The differences in capacity, accessories and term should be clear. In this example, organizing the quoting helps both internal preparation and the customer's decision.
- Input data
- The necessity and conditions of installation are confirmed. Each configuration uses valid information and prices, with relevant assumptions made visible.
- Verification
- The technical manager confirms the fit, and the commercial one approves the conditions. The document shows the differences between the variants without letting the customer deduce them from the appendices.
- After submission
- The transmitted variant is preserved. If an additional accessory is requested, we prepare an identifiable revision and continue the discussion from that version.
RELATED CAPABILITIES
The proposal comes from a request and goes to a decision.
Quoting uses the information obtained before and leaves context for the steps that follow. Sending the document is a moment of the sale, not the end of it.
Lead qualification
We clarify need and fit before the team invests time in a detailed proposal.
CRM & pipeline
The offer and its variants remain tied to the opportunity, responsible and commercial stage.
Automated follow-up
The next action after the offer is determined by the context, the term and the customer's response.
Sales reporting
We see the time of preparation, the offers sent and their continuation, by consistent definitions.
What must be clarified before send the offer.
Dates, prices, approvals and how we keep the proposal right along the way.
Can you work with our offer models?
Yes. We check what works in them and what produces redundancies or confusions. We can preserve the format and organize the components, fields and checks. A new model only makes sense if it helps the preparation or reading; we don't change the presentation just to insert a new document.
Who sets prices and discounts?
Your firm retains the pricing decision and discount limits. SIXIS can organize the use of the approved rules and the verification route, in the agreed area. A situation without a rule or an exception goes to the designated person in charge; we do not invent margins or commercial terms.
How do we deal with an application without all the details?
We choose the information that changes the estimate and ask for clarification. If a guideline proposal is to be useful, its assumptions and limitations must be confirmed and clearly stated. A firm offer is not prepared based on hidden assumptions about quantities, timing or delivery.
Can we automate document preparation?
Some approved data and components can be filled in automatically if the sources are clear and the systems allow. Commercial and technical verification remains with the established persons. We look separately at what can be automated, how to test, and what happens when data is missing or doesn't match the rules.
Do you also include the technical calculation of the project?
We explicitly establish who makes the estimate and who can confirm the solution. Quoting organization does not require technical expertise in any product or industry. We can structure the information and coordinate the steps involved, and the calculations and specifications are validated by the people responsible for them.
How do we avoid using a wrong version?
We keep a clear identification of the offer and revisions, the place of the approved version and the submission history. Subsequent changes are related to the customer's request. Colleagues need to be able to see what the customer received and what proposal is valid in the current conversation.
What do we look for to evaluate improvement?
We track the time between sufficiently clear request and submission, redoes, missing information and waiting for approvals. We put this data next to what happens commercially after the offer. A document prepared more quickly can help the process, but does not guarantee that the proposal will be accepted.
What should we prepare for the first discussion?
A few requests, the resulting offers and the explanation of the steps taken are useful. Show us who checks price and terms and where delays occur. From these cases we determine the activities included and the cost; any additional configurations, integrations or automations are specified separately.
What stands between the request and offer sent?
Show us a recent offer and the steps by which it was prepared. We can see where information, verification or approval could more easily get to the right person.
