Notifications & alerts.Useful signals.A clear next action.

An alert helps when it reaches someone who can act, with the information they need. SIXIS organises notifications for deadlines, bottlenecks and exceptions, reducing the need to watch every record manually.

Tell us what you notice too late See how we work

When a problem becomes
visible too late.

Not every change requires a message. We choose the signals that allow useful intervention and differentiate information from a situation that calls for action.

  1. Deadlines are checked manually.

A colleague periodically opens several records to see what is approaching maturity. If it's busy, a confirmation or delivery gets left behind without reaching the person who can unlock it.

  2. The messages do not show what needs to be done.

The team receives general notices, without case number, reason or person in charge. Recipients look for the information in other places and sometimes assume that someone else is dealing with the problem.

  3. Too many alerts hide important situations.

The same problem is sent repeatedly to several people, including after it has been solved. Messages end up being ignored and an urgent situation looks just like a regular update.

What we signal.
To whom do we ask? an intervention.

Each alert must have a verifiable condition, a relevant recipient, and a closing rule.

We start from a few situations with a clear effect on work. We confirm data sources before using notifications for urgent decisions.

The SIXIS collaboration model
  1. We choose situations that demand attention.

We follow deadlines and bottlenecks observed too late. We determine what can be done if the signal arrives in time and distinguish an information from a request for action. We remove notifications that do not have a clear recipient or purpose.

From you Examples of arrears and persons who can remedy them.

  2. We define the conditions and the source.

We specify what condition, term or value triggers the message and where it is checked. We deal with schedule differences, missing dates and late updates. A still unconfirmed situation should be described as such, without automatically being presented as an incident.

From you Term rules, sources used and relevant program for intervention.

  3. We determine the addressee and the message.

We choose the person or role that can act and the appropriate way of communication. The message shows the case, the reason and where the information can be checked. We arrange a replacement or an escalation when the person in charge cannot intervene.

From you Officers, substitutes, and authorized channels of communication.

  4. We set up repeat and stop.

We determine if and when the alert is repeated, how we avoid duplication and what closes the situation. A simple read may be different from solving. We also check what happens when the deadline is changed or the data is corrected after the first message.

From you Rules for return, confirmation and closing of case.

  5. We test and track utility.

We simulate a normal situation, one resolved and one left unanswered. We check delivery and possible action from the message. After launch, we track ignored or unnecessary alerts and adjust volume, thresholds and recipients with the team.

From you Test cases and feedback to alert recipients.

A shipment
not yet confirmed.

A distributor has orders that must be delivered for shipping by an agreed time. Some are prepared, but the delivery confirmation is missing from the record.

Before the term.
The person in charge receives the list of cases that fulfill the agreed condition and still do not have the necessary confirmation. The message shows the order and the known status, without stating that the delivery failed.
After verification.
If the surrender is confirmed, the alert closes. If a product is missing or the shipment has not arrived, the reason and next step are recorded. A data correction does not produce a new series of messages for the same case.
When the situation remains unresolved.
At the agreed threshold, the information reaches the person who can decide on an alternative or communication to the client. Escalation includes the check already done so the next colleague doesn't start from scratch.

Questions about
useful alerts.

How we avoid repeated messages and how we keep the link between signal and resolution.

What kind of situations can we report?

Close deadlines, cases without a responsible person, missing data or stages that did not continue in the agreed terms. We choose the situations for which there is a useful intervention. The technical possibility to observe the change and send the message is checked in the systems used.

How do you avoid sending too many notifications?

We define the priority, recipients and frequency for each situation. We can group cases that do not require immediate intervention. We check for repeats and remove useless signals. Team feedback is important: a message that is systematically ignored needs to be re-evaluated, not sent more often.

Who receives the alert if the person in charge is absent?

We establish a substitute or escalation route, within the limits approved by the firm. If the system cannot identify people's availability, we choose an applicable rule. We do not assume that a message sent to the entire team equates to assigning responsibility.

Can the alert be stopped after resolution?

Yes, if the state of resolution can be identified in the agreed source. We determine which confirmation closes the situation and test stopping the messages. If the information updates late, we explain the limit and choose a rule that avoids inappropriate alerts.

Can we use email or phone messages?

We choose the channel according to urgency, access and conditions of use. Some notifications may remain in the app used by the team. For external channels we check permissions and costs. Sensitive information is not automatically included in messages that may reach personal devices.

Does an alert prove we have a problem?

Not always. It may indicate missing an acknowledgment or crossing a threshold that requires verification. The message must distinguish the known data from the as yet unconfirmed conclusion. For example, the absence of a delivery record does not in itself prove that the goods were not delivered.

Can we automatically escalate unanswered situations?

Yes, according to approved rules regarding the term, recipients and information transmitted. Escalation must make sense within the firm's responsibilities. We also determine what stops the return, so that a situation that has already been checked or resolved is not further transmitted to other people.

How do we check that alerts help?

We track whether they arrive on time, whether the recipients find the information and whether the situations receive a next step. We compare targeted omissions and delays along with message volume. Delivery of a notification is a technical check; solving the problem also requires team action.
